Travel Disclosure Agreement & Travel Policy

Effective Date: January 1, 2026

This Travel Disclosure Agreement and Travel Policy ("Agreement") outlines the terms, conditions, and responsibilities associated with travel services provided by Global Essence Travel, LLC ("Global Essence Travel," "we," "us," or "our"). By booking travel services or submitting payment, you ("Client," "Traveler," or "you") acknowledge that you have read, understood, and agreed to the terms below.

1. Role of Global Essence Travel, LLC

Global Essence Travel, LLC acts solely as an independent travel advisor and booking agent. We assist clients with planning, organizing, and reserving travel arrangements but do not own, operate, or control airlines, hotels, cruise lines, transportation providers, tour operators, or other travel suppliers.

 

All travel services are provided by third-party suppliers and are subject to their individual terms, conditions, and policies.

2. Supplier Responsibility & Liability Disclaimer

Global Essence Travel, LLC is not responsible or liable for:

  • Acts, omissions, or negligence of third-party suppliers

  • Changes, delays, cancellations, or schedule modifications

  • Mechanical failures, weather conditions, strikes, pandemics, or acts of God

  • Lost, stolen, or damaged luggage or personal belongings

  • Injuries, illness, accidents, or death occurring during travel

 

By booking through Global Essence Travel, you agree to hold Global Essence Travel, LLC harmless from any claims arising from third-party services.

Global Essence Travel, LLC shall not be responsible for any additional expenses, losses, or damages incurred as a result of such events.

 

3. Payments, Deposits & Authorization

All prices are subject to availability and supplier confirmation until paid in full.

  • Deposits may be required and are often non-refundable

  • Final payment deadlines are determined by suppliers and must be met to avoid cancellation

  • Failure to submit payment by the required deadline may result in cancellation without refund

 

By submitting payment, you authorize Global Essence Travel, LLC to charge the provided payment method for agreed-upon travel services and applicable fees.

Service fees charged by Global Essence Travel, LLC are non-refundable once services have begun.

 

4. No Refund & Cancellation Policy

Unless explicitly stated otherwise in writing:

  • All bookings, deposits, service fees, and payments are final and non-refundable.

  • Refund eligibility is determined by the supplier, not Global Essence Travel, LLC.

  • Service fees charged by Global Essence Travel are non-refundable, regardless of cancellation reason.

  • Cancellations initiated by the client may result in penalties or total loss of funds.

 

Travel insurance is strongly recommended to protect against unforeseen circumstances.

 

5. Travel Insurance Recommendation

Global Essence Travel, LLC strongly recommends that all travelers purchase comprehensive travel insurance, including:

  • Trip cancellation and interruption

  • Medical emergencies

  • Evacuation coverage

  • Baggage loss or delay

 

Failure to purchase travel insurance is done at the client’s own risk.

 

6. Passports, Visas & Entry Requirements

Travelers are solely responsible for:

  • Valid passports (typically valid at least 6 months beyond travel dates)

  • Required visas, permits, or entry documents

  • Vaccination and health requirements

  • Understanding destination entry rules and restrictions

 

Global Essence Travel, LLC is not responsible for denied boarding, entry refusal, or additional costs due to incomplete or incorrect documentation.

 

7. Health, Safety & Risk Acknowledgement

Travel involves inherent risks including but not limited to illness, injury, political instability, and environmental conditions. By booking travel services, you voluntarily assume all risks associated with travel and agree that Global Essence Travel, LLC is not responsible for health or safety outcomes.

 

8. Travel by Minors and Parental or Guardian Consent

If the traveler is under the age of 18, a parent or legal guardian must review and sign this Travel Disclosure Agreement and Travel Policy on the minor’s behalf.

 

By signing for a minor, the parent or legal guardian represents and warrants that they are the legal parent or authorized guardian of the minor and have the legal authority to execute this Agreement.

 

Global Essence Travel, LLC may rely on the representations made by the signing parent or legal guardian without further verification.

 

The parent or legal guardian:

  • Consents to the minor’s participation in the travel arrangements

  • Accepts full responsibility for the minor’s conduct, health, safety, and travel decisions

  • Voluntarily assumes all risks associated with the minor’s travel

  • Releases, indemnifies, and holds harmless Global Essence Travel, LLC from any claims, losses, damages, or liabilities arising from the minor’s travel or the acts or omissions of third-party suppliers

 

Global Essence Travel, LLC does not provide supervision, childcare, or guardianship services during travel.

 

9. Group Travel & Name Change Policy

For group trips:

  • Group pricing is based on minimum participation requirements.

  • Name changes may not be permitted or may incur additional fees.

  • Room assignments and roommate matching are not guaranteed unless specified.

 

10. Itinerary Changes & Force Majeure

Global Essence Travel, LLC is not responsible for itinerary changes caused by circumstances beyond our control, including natural disasters, government actions, airline changes, or global events. No refunds are guaranteed under force majeure conditions unless issued by the supplier.

 

11. Accuracy of Traveler Information

Clients are responsible for ensuring all traveler information is accurate, including:

  • Legal names matching government ID

  • Dates of birth

  • Contact information

 

Errors may result in additional fees or denied travel, for which Global Essence Travel, LLC is not responsible.

 

12. Use of Information & Privacy

Personal information collected is used solely for travel planning, booking coordination, and communication purposes.

Information may be shared with third-party suppliers as necessary to complete travel arrangements. Global Essence Travel, LLC does not sell or rent personal information.

 

13. Governing Law

This Agreement shall be governed by and interpreted in accordance with the laws of the State of Florida, without regard to conflict of law principles.

 

14. Acceptance of Terms

By booking travel services, submitting payment, or signing electronically, you confirm that you:

  • Have read and understand this Travel Disclosure Agreement

  • Agree to all terms and conditions

  • Accept full responsibility for travel risks and documentation

  • Release Global Essence Travel, LLC from liability related to third-party services

 

Traveler and Guardian Acknowledgment, Assumption of Risk, and Release of Liability

 

By signing below, I acknowledge that I have read, understand, and voluntarily agree to this Travel Disclosure Agreement and Travel Policy.

 

I understand that Global Essence Travel, LLC acts solely as a travel advisor and intermediary and is not responsible for the acts or omissions of third-party travel suppliers.

​

I voluntarily assume all risks associated with my travel and agree to release, indemnify, and hold harmless Global Essence Travel, LLC from any claims, losses, damages, or liabilities arising from my travel.
